At what size company does the investment pay off?

How do I ensure that surveys are carried out?

Many legally required instructions require that everyone can ask their own personal questions about the course, instruction or training. The employee is informed of this after each course. This notice needs to be confirmed. Furthermore, the employee and the responsible manager will then receive a notification via email or push notification that this conversation still needs to be confirmed by both of them. This conversation can be conducted via email, chat, telephone or in person as an individual or group conversation.

In HSE 4.0 everyone has access to a chat tool in which such exchanges can also be recorded. The employee can send the questions to the responsible manager and the manager can answer the entire team with 2 clicks.This means that information is not lost and everyone is on the same level of knowledge.

External company management: Are instructions for visitors and external parties possible?

HSE 4.0 gives you the option to let external parties register themselves. After confirming the registration email, you can log in directly and carry out the necessary safety instructions on the web or app that you need to enter or drive on the company premises. Like all instruction, you can set this so that the instruction must be repeated after a certain period of time, or a new instruction must be carried out if regulations or rules have changed.

If the minimum criteria you have set are met, an access badge will automatically be created based on your template. This can then also be used for your visitor registration system, for example. Access badges can be provided with a photo, QR code or digital signature to increase their security and limit misuse. Of course, you can also offer these instructions in the local language of the visitors, suppliers or customers.

What is the license model like?

We offer you 2 licensing models - a cloud solution with servers in Germany and a hosting solution in which our software is installed on your servers. Our cloud solution is based on web storage space. In the basic version you get 1 GB of memory. This may seem like a small amount, but since we are not a video platform or music streaming service, this is enough to serve 4-5 courses including content for up to 500 users. What about legal certainty?

Online instructions are recognized by all professional associations (BG) - many BGs also offer their own instructions. The supervisors of the respective BG often decide whether the proof of instruction can be signed digitally or whether this is not permitted.

What about the legal security of the signatures?

Unfortunately, this topic is not regulated, but since we record the date, time and IP address of the employee for each instruction and can also output these on the instruction protocol, the obligation to record and document is satisfied. Of course, legally secure signatures must comply with the provisions of Sections 26 and 26a of the German Civil Code (BGB), but there is an easier way. If the BG supervisor insists on original signatures, you can have the proof of instruction printed and signed at any time.

What about data protection?

Users you create have usually already signed your internal data protection regulations, so nothing more needs to be done here.When registering, external users must confirm that they accept the terms of use and data protection regulations and that they can delete their data independently.

Is the number of users limited?

The number of users is not limited with HSE 4.0.

Does every employee have their own login?

Yes, every user has their own login with their own password and can change or query this at any time, even if this user does not have their own internal email address, the changes or notifications will be sent via the person responsible delivered to the responsible person.

Are employees regularly reminded of due instructions?

Yes, there is a reminder function via email or push notification (in the app).

Is HSE 4.0 just for safety training?

You can use HSE 4.0 for all training topics and further training, internal and external events, with your own or external trainers, in all training formats, such as face-to-face courses, blended learning, online training (WBT) and self-study courses (Learning Experience Format LXP).Your entire personnel development, occupational safety, compliance, health prevention, disposal, sustainability, work instructions, etc. in a single platform. Legally required instructions are documented accordingly, training courses receive their own certificate, employees record their personal further training and professional interests.

Did employees really do the instruction themselves?

Of course there is fraud. Anyone who wants to cheat knows the system and knows how to outsmart it.

Of course, there are all sorts of forms of facial surveillance, activity surveillance, location surveillance and other control systems.

Is there an SAP or ERP connection?

We can implement any connection using CSV exchange. You can import and export users, you can import and export content and you will regularly receive all results as file attachments. You can then import these into your LMS. Online interfaces are feasible, but require prior testing and regular maintenance and may need to be adjusted again if changes occur through updates or upgrades.

Is HSE 4.0 SAP S4 capable?

What do I have to consider about the content?

The ArbSchG and the current regulations state that every instruction must contain workplace-related content. This requires that every instruction, whether face-to-face or online, must be adapted - according to activities, risks, locations, etc. Therefore, courses must be adapted to the requirements and risk assessments by your SiFa, your e-learning team or your external agency . This is often laborious and time-consuming, or not possible at all, and costs a lot of money. Therefore, HSE 4.0 has an internal editor that allows you to edit new content or existing content easily, quickly and easily with just a few mouse clicks.

Do you still use Excel or how clear are the reports?
